Overview

A Late Cancellation Timecard is a timecard automatically generated when a confirmed nurse is cancelled with short notice, or is sent home after arriving at your facility.

This policy ensures that nursing professionals are compensated for the time they set aside for your facility, as they are often unable to book a replacement shift on such short notice.

When is this timecard generated?

A Late Cancellation Timecard is created in a few specific scenarios:

  1. Late Notice: You cancel a confirmed shift less than 4 hours before the scheduled start time.

    1. Or less than 24 hours for an invited/block schedule shift

  2. Sent Home: A nurse arrives at your facility for their scheduled shift, but you send them home (e.g., due to low census or a scheduling error on the facility's end).

Here is a breakdown of when fees apply under our 2026 policy:

How much is the fee?

The facility will be billed for 4 hours at the confirmed hourly rate.

Example:

  • Shift: 7:00 AM - 3:00 PM

  • Cancellation Time: 6:30 AM (30 minutes before start)

  • Charge: You will be billed for 4 hours of the nurse's time.

Where does the money go?

100% of this fee goes directly to the nurse.

ESHYFT applies zero markups and zero processing fees to Late Cancellation Timecards. We facilitate this payment strictly to compensate the nurse for their lost income and inconvenience.

Why do we charge this?

Nurses rely on these shifts for their livelihood. When they confirm a shift at your facility, they turn down other work opportunities to be there.

  • Opportunity Cost: If a shift is cancelled last minute, it is usually too late for that nurse to pick up a shift at another facility.

  • Reliability: Just as we track nurse reliability, this policy encourages facilities to manage schedules proactively.

How to avoid these charges

We understand that census counts change. To avoid Late Cancellation fees:

  • Review your schedule early: Please verify your staffing needs at least 4+ hours before shift change.

  • Cancel ASAP: If you suspect you might be overstaffed, it is better to cancel early to give the nurse a chance to find work elsewhere.
