How are shifts with invited nurses different from regular shifts or instaSHYFTs?

Block schedule shifts are regular shifts but the invited nurse ‘fills’ the shift, so the shift with an invited nurse is not visible to other nurses. It may become visible to other nurses if the facility indicates they want to open up the shift to other nurses when the invite expires, or if it’s refused by the nurse, or if the invite is revoked or cancelled by the manager.

How do we make sure invited nurses are not overworking?

We prevent inviting nurses for more than 18.5 hours of consecutive confirmed shifts. So, if a nurse is already confirmed for a shift on January 29, 2025 at 3:00pm, the facility can invite her to an earlier or a later shift. (January 29 at 7am or 11pm) Once the nurse is invited to those shifts, the ability to invite her to a shift at 11pm on the 28th or 7am on the 30th is removed.

Why is overworking limited by hours instead of by shifts?

We have different shift durations on ESHYFT. Some facilities post 4 hour shifts, other post 12 hour shifts. We wanted to allow for flexibility in combining different shift durations, so we focused on hours and not shifts.

How do we make sure nurses aren’t double-booked?

We do not allow facilities to select shifts for which the nurse is already confirmed (at any facility) or invited at the same facility. We also check already created shift invites for overlapping, overtime, and overworking scenarios and mark them as unavailable to the nurses.

How can I edit a shift with invited nurses?

Before confirmation, you can adjust:

  • Hourly pay (within allowed limits).

  • Shift descriptions (add/remove details).

  • Refused/expired shifts (choose whether to open to others).

Once confirmed, edits are locked. If the shift is set to open after expiration, it becomes a regular shift.

How do I revoke a shift invite from a nurse?

  • Revoking an invite: You can revoke an invite any time, with an optional reason and the option to open the shift to others.

  • Canceling a confirmed shift: Cancelling within 24 hours results in a 2-hour late cancellation charge.

How do I cancel a confirmed nurse?

If an invited ESHYFT nurse is no longer needed, a facility manager can cancel them.

  1. Log in and navigate to the 'SHIFTS' tab

  2. Locate the Confirmed Shift you would like to cancel.

    1. Find the shift the nurse is confirmed for. Click on that shift to open the shift details.

  3. Click 'CANCEL'

    1. Within the shift details, select CANCEL.

  4. Select a Cancelation Reason

    1. A pop-up window will appear asking you to select the reason for cancellation. If the cancellation is within 2 hours of the shift’s start time, you must also check the box to confirm that you will be billed for 2 hours of the nurse’s time at the confirmed rate.

  5. Confirmation

    1. Once you confirm and submit the pop-up, the nurse will be removed from the shift, and you’ll see a confirmation that the nurse has been canceled.
